At Fair Landia, we are committed to providing high-quality photography services and ensuring client satisfaction. We understand that circumstances may arise that necessitate cancellations or changes to your photography booking. This Refund Policy outlines the conditions under which refunds may be issued, the refund process, and exceptions to our standard policy.

This policy applies to all photography services provided by Fair Landia, including but not limited to portrait sessions, wedding photography, event coverage, commercial photography, and landscape photography workshops.

Please note that specific terms in your individual service contract may supersede this general policy. Always refer to your signed contract for the terms that apply specifically to your booking.

Deposits and Retainers

Non-Refundable Deposits

When you book a photography service with Fair Landia, you will be required to pay a deposit (also referred to as a booking fee or retainer) to secure your date. This deposit serves several purposes:

  • It confirms your commitment to the scheduled session
  • It reserves our time and prevents us from booking other clients for the same date and time
  • It covers administrative costs associated with your booking

All deposits are non-refundable. When you pay a deposit, you are purchasing the right to have us reserve your chosen date and time, regardless of whether the session ultimately takes place.

Deposit Amounts

Deposit amounts vary based on the type of service:

  • Portrait Sessions: 50% of the session fee
  • Wedding Photography: 30% of the total package price
  • Event Photography: 40% of the estimated total
  • Commercial Photography: 30% of the estimated total

Cancellation Policy and Refunds

Our refund policy for cancellations depends on how much notice is provided before the scheduled session date:

Special Circumstances

We understand that life is unpredictable, and emergencies can occur. In cases of serious illness, injury, bereavement, or other extreme circumstances, we may offer more flexible refund terms or the option to reschedule without additional fees. Such situations will be evaluated on a case-by-case basis and may require documentation.

Rescheduling

If you need to reschedule your session rather than cancel it entirely:

  • First rescheduling: No additional fee if requested more than 14 days before the original date
  • Subsequent rescheduling: Subject to a rescheduling fee of £75
  • Rescheduling with less than 14 days' notice: Subject to a fee of £150

All rescheduling is subject to our availability. If we cannot accommodate your new requested date, our standard cancellation policy will apply.

Cancellation by Fair Landia

In the rare event that Fair Landia needs to cancel a booking, our policy is as follows:

Photographer Illness or Emergency

If we must cancel due to illness, injury, or a personal emergency:

  • We will attempt to provide a qualified replacement photographer of similar style and expertise
  • If a replacement is not available or is not acceptable to you, you will receive a full refund including the deposit
  • Alternatively, you may choose to reschedule at no additional cost, subject to availability

Extreme Weather or Unsafe Conditions

For outdoor sessions, extreme weather conditions may necessitate rescheduling:

  • The decision to cancel due to weather will be made by Fair Landia based on safety considerations and the potential impact on image quality
  • Weather cancellations will result in rescheduling at no additional cost, rather than refunds
  • If rescheduling is not possible within 6 months, a full refund will be issued

Other Unforeseen Circumstances

In the event of other unforeseen circumstances that prevent us from fulfilling our obligations (e.g., natural disasters, civil unrest, venue closures):

  • We will offer to reschedule at no additional cost
  • If rescheduling is not possible or desired, a full refund will be issued

Dissatisfaction with Services

Customer satisfaction is our priority. If you are dissatisfied with the services provided:

Technical Quality Issues

If there are significant technical issues with your images (e.g., improper focus, severe underexposure, or other technical failures):

  • You must notify us within 14 days of receiving your images
  • We will evaluate the issues and, if valid, offer one of the following remedies:
    • Re-editing of the affected images
    • A partial refund proportional to the extent of the issue
    • A complimentary session to recapture images (where possible)

Stylistic Preferences

Refunds are not provided for stylistic preferences or creative differences. This includes:

  • Dissatisfaction with artistic choices (composition, posing, lighting style)
  • Color grading and editing style (provided it aligns with our portfolio examples)
  • Subjective evaluation of image content

We encourage clients to thoroughly review our portfolio before booking to ensure our style aligns with your expectations.

Refund Process

If you are eligible for a refund according to this policy, here's what you can expect:

How to Request a Refund

To request a refund, please follow these steps:

  1. Submit your refund request in writing to [email protected]
  2. Include your name, contact information, session date, and the reason for your refund request
  3. Provide any relevant documentation to support your request (if applicable)

Processing Timeline

Once your refund request is received:

  • We will acknowledge receipt of your request within 2 business days
  • Refund requests will be evaluated within 5 business days
  • If approved, refunds will be processed within 10 business days of approval

Refund Method

Refunds will be issued using the same payment method used for the original purchase:

  • Credit/Debit Card Payments: Refunded to the original card
  • Bank Transfers: Refunded to the originating bank account
  • Other Payment Methods: Handled on a case-by-case basis

Please note that credit card refunds may take 5-10 business days to appear on your statement, depending on your card issuer's policies.

Non-Refundable Items and Services

The following items and services are non-refundable under any circumstances:

  • Third-Party Costs: Any costs we have incurred with third-party vendors specifically for your session (e.g., venue fees, permits, specialized equipment rentals)
  • Travel Expenses: Non-recoverable travel expenses for destination sessions or weddings
  • Custom Props or Materials: Items purchased specifically for your session
  • Digital Downloads: Once digital files have been delivered and downloaded
  • Printed Products: After production has begun

Exceptions to Standard Policy

We recognize that certain circumstances warrant special consideration:

Military Deployment

Active military personnel who receive deployment orders after booking may receive a full refund (including deposit) or may reschedule without penalty, provided official documentation is provided.

Serious Medical Conditions

In cases of serious medical emergencies that prevent attendance at a scheduled session, we may offer a full or partial refund with appropriate documentation from a medical professional.

Bereavement

In the event of death in the immediate family shortly before a scheduled session, we will work with you to reschedule without penalty or provide a refund appropriate to the circumstances.

Policy Changes

Fair Landia reserves the right to modify this Refund Policy at any time. Any changes will be posted on our website with an updated "Last Updated" date.

Changes to this policy will not apply retroactively to bookings made before the change unless explicitly agreed upon by both parties.
